What began as a platform for connecting Scotland’s TV and film professionals with productions is developing into a much more comprehensive production workflow system.
The latest updates have been designed around one simple idea: make it easier for productions to find the right people, organise their teams and manage a production from one central place.
Production companies can now create dedicated Production Workspaces for individual projects.
Each workspace acts as the central hub for that production, bringing together crew requirements, vacancies, applicants, availability, bookings, production documents and other essential information.
Productions can add the roles and quantities they require through the new Crew Builder, allowing teams to see at a glance how many positions need filled and how many crew members have already been confirmed.
Instead of information being spread across different systems, spreadsheets and email threads, CrewUp can now keep much of the crewing process connected directly to the production.
Job adverts can now be linked to a specific Production Workspace.
This means the roles and quantities advertised can feed directly into the production's Crew Builder, helping production teams keep recruitment requirements accurate as the project develops.
Standalone job adverts are still supported for productions that simply want to advertise a vacancy without creating a complete production workspace.
The Jobs section has also received a major visual update, making opportunities easier for industry professionals to browse and compare.
Applications to production-linked vacancies can now be managed through a dedicated Applicant Pipeline.
Rather than working through a single long list of applications, production teams can move candidates through different stages including:
New → Reviewing → Shortlisted → Availability Checked → Offered → Confirmed
Private production notes can also be recorded against candidates, allowing the production team to keep internal recruitment information organised.
Once somebody is confirmed, they can become part of the wider production workflow.
Finding somebody who appears suitable is only part of the process.
CrewUp now allows productions to send availability requests directly to industry professionals.
Professionals can respond as:
Available, Part Available or Unavailable.
Productions can then issue Soft Holds or formal Booking Offers, helping move the conversation from initial interest through to confirmed crew.
This is particularly useful because a clear CrewUp calendar does not automatically mean somebody is available. The professional still has the opportunity to confirm their actual availability.
For productions that need somebody at short notice, CrewUp Now provides a faster route.
Productions can create an urgent crew call containing the role, date, location, call time, rate or terms and other important information.
Matching industry professionals can then respond directly through CrewUp.
This gives productions two different recruitment routes:
Jobs for normal recruitment and applications, and CrewUp Now for urgent or last-minute crew requirements.
Not every production requirement is a job vacancy.
The new Production Needs system provides a place for productions to request services, facilities and practical support such as catering, transport, accommodation, equipment, props, workshops, security and other production requirements.
This helps CrewUp connect more areas of the Scottish screen industry, not just individual crew roles.
One of the biggest additions is the new Call Sheet system.
Once crew are confirmed, productions can create a call sheet for a shoot day and automatically bring confirmed CrewUp crew into the document.
Productions can also manually add cast, clients, agency contacts, drivers, location contacts and other people who may not have CrewUp accounts.
Call sheets can contain information including individual call times, general crew call, production contacts, locations, unit base, parking information, nearest hospital, schedule information, weather notes, sunrise and sunset, safety information, catering, transport and special instructions.
Productions choose who appears on the document and who should actually receive it.
Productions can also require selected recipients to acknowledge the call sheet.
The production team can see whether somebody has not yet viewed the document, has viewed it but not acknowledged it, or has confirmed that they have received and read the current version.
If necessary, reminders can be sent to people who have not yet acknowledged it.
Call sheets can also be revised without overwriting the original version, giving the production a clearer record of what was distributed.
The production workflow now continues beyond the call sheet.
After a shoot day, productions can create a Daily Production Report recording what actually happened.
This can include scheduled and actual start times, meal breaks, wrap times, work or scenes completed, delays, schedule changes, incidents, health and safety notes, equipment issues and requirements for the following day.
For multi-day shoots, the Daily can then be used as the starting point for the next day's Call Sheet, reducing the need to repeatedly rebuild the same information.
The workflow becomes:
Call Sheet → Shoot Day → Daily Report → Next Day's Call Sheet
Productions are rarely managed by one person, so CrewUp now supports Production Managers and collaborators.
The owner of a Production Workspace can invite multiple trusted users by email.
Each invited person uses their own CrewUp account rather than sharing the production company's login.
Once accepted, they can help manage that particular production, including its Crew Builder, applicants, availability, bookings, call sheets, dailies, Production Needs and other production tools.
Access remains specific to the production they were invited to. They do not automatically gain access to the company's other productions.
The production owner remains in control and can remove a manager's access at any time.
This means different members of a production team can work together inside CrewUp — for example, one person managing recruitment while another handles call sheets and another monitors bookings.
Productions can build reusable Saved Crew Lists, making it easier to keep track of professionals they may want to work with again.
A production's confirmed crew can also be brought together into a Contact Sheet, providing a central record of the people working on the project.
Over time, this should help production companies build useful working relationships rather than starting every crew search from scratch.
CrewUp is also designed to benefit professionals after a production has finished.
When a production is completed, confirmed crew can be invited to verify their production credit.
Once confirmed, the credit can appear within their CrewUp profile as production-confirmed previous work.
This creates a stronger connection between the work being organised through CrewUp and the professional's developing industry record.
These changes represent an important evolution for CrewUp Scotland.
The platform is no longer simply about listing crew profiles and advertising vacancies.
It is increasingly designed around the whole production journey — helping a production build its team, manage recruitment, confirm availability, organise crew, communicate shoot-day information and maintain production records.
